Privacy Policy

QnAline ("we", "us", "our") operates the calendar and scheduling tools at calendar.qnaline.com. This policy explains what data we collect and how we use it.

What We Collect

• Name and availability: When you submit your availability through our calendar form, we store your name and your Yes/No/Maybe responses in a Google Spreadsheet.
• Schedule assignments: When an admin assigns you to a show, we store the assignment data (your name, show, date, role).
• Google Calendar access: If you choose to sync your schedule to Google Calendar, we request one-time access to create events in your calendar. We only add events — we do not read, modify, or delete your existing calendar data.
• Local storage: We use your browser's local storage to remember admin login sessions. No tracking cookies are used.

How We Use Your Data

• To display show schedules and availability to the QnAline team
• To create calendar events in your Google Calendar when you request it
• We do not sell, share, or transfer your personal data to any third parties
• We do not use your data for advertising, marketing, or profiling

Public Schedule

The published show schedule (show names, dates, times, and assigned crew names) is publicly viewable at calendar.qnaline.com/schedule. Availability responses (Yes/No/Maybe) are only visible to QnAline administrators.

Google Calendar Integration

When you click "Sync to Google Calendar", you are asked to sign in with your Google account and grant permission to create calendar events. This permission is used only at that moment to add your scheduled shows. We do not store your Google account credentials or maintain ongoing access to your calendar.

Google API Services User Data Policy

QnAline's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

• We only use Google Calendar access to create show schedule events that you explicitly request.
• We do not transfer Google user data to third parties.
• We do not use Google user data for advertising or any purpose other than creating the requested calendar events.
• We do not store Google OAuth tokens beyond the immediate sync session.

Data Storage

Availability data and schedule backups are stored in Google Sheets. Schedule assignments are also stored on our server hosted by Railway. All data is accessible only to QnAline administrators.

Data Retention

We retain availability and schedule data as long as it is needed for scheduling purposes. Past months' data may be kept for reference. You may request deletion at any time.

Your Rights

You can request to view, correct, or delete your data at any time by contacting us. You can also revoke Google Calendar access at any time through your Google Account permissions.
